Senior Facilities Executive

Duties and Responsibilities

  • Supervise a team of in-house Facilities Executives, Facilities Officers, and/or Handymen
  • Supervise maintenance works to ensure that contract service providers perform all contractual obligations under various term contracts
  • Plan preventive work schedule, conduct and supervise inspections to building and grounds to identify defects/irregularities and follow up on rectification works
  • Assist in site inspections and provide inputs to the planning and execution of Cyclical Maintenance Works, Building Improvement Works, Annual Building Inspections, and Periodic Structural Inspections
  • Assist the Facilities Manager in the preparation of work plan and operational budget, and ensure that expenses are spent within budget
  • Upkeep and maintain building operation manual and other records relating to the building and its facilities
  • Put up recommendation, monitor repair and maintenance works by contractors, and certify work completion for release of payment
  • Administer the processing of A&A works, provide technical evaluation, monitor and ensure work completion in accordance with A&A permits and relevant governmental requirements
  • Assist the Facilities Manager on term contract administration including evaluation of contractors’ performance and review of contract specifications
  • Attend to tenants’ requests and feedback promptly
  • Conduct inspections for the handling and taking over of tenanted premises
  • Assist the Facilities Manager in liaising with external parties on matters relating to the building or licensing
  • Manage event bookings and logistic support for all events at the building
  • Undertake any other tasks or responsibilities as required by management in the course of work

Requirements

  • Diploma/Higher Nitec in Facilities Management/Mechanical Engineering/Electrical Engineering or equivalent
  • At least 3 to 5 years of relevant experience in Building Management, Building Maintenance, or Facilities Management for a commercial building
  • Proficient in Microsoft Office
  • Possess good communication, writing, and interpersonal skills
  • Able to work independently and effectively under pressure to meet tight deadlines
  • Possession of a valid Fire Safety Manager Certificate will be an advantage
