Central Support Officer (GKidz)

Job Purpose:

The Central Support Officer facilitates the operationalising of the church’s ministries, programmes, and events to create new realities.

Primary Role:

The primary role of this Central Support Officer is to provide operational and administrative support to the church and the GKidz department. Primary responsibilities include:

  • Organising the operational aspects of church and GKidz programmes and events, and planning and executing the administrative, operational, and logistical support required
  • Providing on-site support for weekly services and GKidz programmes, and other churchwide and GKidz programmes, events, conferences, trainings, meetings, and camps as needed

Duties and Responsibilities:

  • Work closely with other staff to drive the success of the team and the project, stepping up to assist others and to cover other staff’s duties where needed
  • Organise resources effectively for the execution of projects, coordinating project timelines to ensure smooth execution and timely completion of jobs assigned, such as preparing participant materials
  • Plan and set clear actions steps for achieving goals, being highly responsive and accountable to the team, promptly surfacing issues, and providing regular status updates for progress on personal assignments
  • Render administrative and logistical support in executing projects, including registration, payment and feedback processing, venue setup, and managing programmes conducted over online platforms
  • Systematically arrange and sort data, documentation, and logistics, including managing and tracking project expenses, filing and submission of supporting documents and invoices, updating the membership management system, providing progress reports, and maintaining the GKidz logistics
  • Support churchwide services, initiatives, and events, and any other ad-hoc duties which may be assigned

Requirements:

Preferred Skills/Experience

  • Highly organised and able to plan and correctly prioritise tasks, working quickly and efficiently in a fast-paced environment to complete tasks by given deadlines; events planning experience is a plus
  • Work well with Pastors and other staff, able to interact professionally with sponsors, partners, and suppliers, and relate personably with volunteers, children, and parents
  • Able to interpret communications accurately, troubleshoot, and provide the support needed while adhering to internal policies
  • Proficient in administrative skills and in Microsoft Office (Word, Excel, and PowerPoint), accurately managing data, and systematically organising documentation and logistics with attention to detail
  • Take ownership of the area of work assigned, working independently and proactively, creatively finding solutions, and seeking help where required
  • Able or open to being trained in managing events conducted on online platforms such as Zoom

Language Requirements

  • Fluent in written and spoken English
  • Preferably also conversant in Mandarin to liaise with Mandarin-speaking clients and suppliers, and able to prepare basic bilingual signages and posters

Education/Professional Qualification

  • GCE ‘A’ Level or Diploma in any discipline, preferably with relevant working experience

Working Conditions

  • Able to work on-site on weekends
  • Able to manage overnight events such as camps and retreats
  • Willing to put in extended hours for a season leading up to key events; appropriate off-in-lieu will be provided thereafter
